Iowa Permits Employers to Provide Employees with Wage Statements by Electronic Means

04/02/18

Author: ADP Admin/Wednesday, March 28, 2018/Categories: Compliance Corner

Iowa has amended its paystub law to allow employers to provide electronic wage statements. Previously, the law required employers to mail or provide wage statements at the place of employment, or provide employees with the means to view and print an electronic wage statement at the workplace. Per HB2240, employers are allowed to provide wage statements by providing the statement to an employee by secure electronic transmission or by other secure electronic means.

If the employee is unable to receive his or her wage statement electronically, the employee must notify the employer in writing at least one pay period in advance, and the employer must provide the statement by:
  • Sending the statement to the employee by mail;
  • Providing the statement to the employee at the employee’s normal place of business during normal employment hours; or
  • Providing each employee access to view the employee earnings statement electronically and providing the employee free and unrestricted access to a printer to print the statement.

Call to Action: Train HR, payroll, and employees on the amended law’s requirements.  Please work with your Service Team to determine how your organization would like to implement the new electronic payment statement provision.
